As the order moves, whatever anyone did gets written down

Website, shop and marketplace orders collect in the same list. Statuses move in order, every step is written to the order’s own record, and you never track an invoice or delivery note number by hand.

What it does on the order side

Seven headings, seven screens that genuinely exist in the panel. The promise is not speed but consistency: wrong sequences are blocked, every step is written down, and the money side is never left undecided.

Flow

Statuses move in order and no step is skipped

Waiting, preparing, packed, shipped, delivered — the panel keeps that order. Delivered can only be set on an order that shipped, and an order already on its way does not appear in the cancel list. A misclick never leaves an order in a state that makes no sense

Sources

Site, shop and marketplace in the same list

Orders from your website, orders pulled from marketplaces and sales rung up at the counter collect on one screen. An order taken over the phone is opened from the panel by hand. You are not checking three places and reconciling at close of day.

Record

Every order carries its own history

Creation, status changes, payment, shipping, invoicing and any notes are written with their time. “What happened to this order, and who touched it when” is answered from the order’s record rather than the team’s memory.

Documents

Invoices and delivery notes number themselves

Documents are produced against the order and numbered in sequence with the year and the store. You keep no numbering book, and you never give the same number twice. Refund documents and free-form documents are added from the same place.

Returns

The return and the refund are tracked separately

A return request moves through its own statuses: requested, approved, goods received, or rejected. The refund is followed alongside it, so “has the product come back” never gets mixed up with “has the money gone back”.

Money

Cancelling never leaves the money undecided

Cancelling does more than change a status. If nothing was collected the payment record closes quietly; if it was, the amount is either credited to the dealer account or flagged as a refund pending. No refund is forgotten.

Invoicing

E-invoicing runs from the order’s own screen

You issue the invoice from the order detail, check its status on the same screen, and open the PDF once it is approved. No separate portal, no searching by order number.

As orders pile up, tracking slips out of your hands

The problem is not taking orders; it is knowing where each one has got to.

Site · Shop · Marketplace Three sources in one list

  • Nobody knows where an order stands

Because who did what and when is not written down, the same question gets asked several times a day.

  • Channels sit on separate screens

Checking the site, the marketplaces and the counter separately turns reconciling into a job of its own.

  • On cancellations, money is left hanging

The order gets closed, but whether the refund was actually made goes untracked.

The path of an order

From the moment it lands to the moment its documents exist, an order moves on one screen.

  1. The order lands

From the site, a marketplace or the counter — all of them written to the same list.

  2. Prepared and packed

You move the status on, and each change goes into the order’s record with its time.

  3. Handed to the courier

A shipment record is opened and the tracking number is attached to the order.

  4. Documents produced

The invoice and delivery note are created against the order with sequential numbers.
